Hello,
A week or so ago I posted a message asking for information about
archiving campus electronic publications. Most of the responses I
received were requests to share findings with the list. At the
bottom of this message is a selective digest of responses. In addition,
I'm including some URLs compiled by our group. For the questions posed
in my original message, the documents from MIT, Pittsburgh, and IU seem
most relevant.
Our group is in the process of developing a recommendation and
demonstration project plan for our campus. For progress updates or

Don't think there is anything so elaborate as a policy, but you
might want to talk to my son, who put both the Tufts Daily newspaper
and literary magazine (Queens Head & Artichokes ?!) online. He
runs a newspaper archive, but I don't know if, for example, he
saved his first two designs of the site. mweissma at emerald.tufts.edu
He also serves on a couple of the campus technology committees.

A co-worker forwarded your message about archiving campus e-publications.
Would you be willing to share your findings? We are just beginning to look
into the issue of archiving state electronic publications, and any pilot
projects, models, etc., that we could see would be helpful, eventhough you're
looking at the issue campus-wide and we're looking at it
state-government-wide.

Ms. Kimmel--One of our library staff members who subscribes to the
Imagelib listserv forwarded your message regarding archiving campus
epubs to me, in my capacity as university archivist. I applaud your
committee's work there at NC State, and I hope you will be willing
to share the results of your deliberations when your report/
recommendations are complete.
Here on the College Park campus of the University of Maryland, I do
not think we have launched too many epubs total, and there are not
any publications that are coming up solely electronically, to my
knowledge. The only 2 that I know of that appear on the web at this
time are the student newspaper, the DIAMONDBACK, and a faculty/staff
newsletter, entitled OUTLOOK. These 2 also still appear in paper copy,
so preserving them for posterity is not an issue. We have not really
tackled any of the questions in your message of Feb. 7, but I wish you
all luck on these issues.
One question that continues to concern me about info on the Web and
especially info that should be preserved permanently is the question
of archiving materials off the web. To use the our student newspaper
as an example, no one on campus seems to be able to tell me how long
particular issues will remain up. We maintain a subject index to
the paper, and it would be wonderful to link index entries to actual
text, but if the issues are coming down after a year, maybe we don't
want to go to all that trouble. To give you another example, our
campus-wide policies and procedures manual is mounted on the web, but
once policies are updated, the older version disappears. Without some
sort of backup, to date a paper copy, there is no easy way to trace
change over time.
So as you can see, we are only take our first steps towards dealing
with this electronic explosion. Good luck with your committee work.
