You should consider asking for information from the Internet Public Library - they have guidelines for answering questions, and standard formats for replies that include templates as well as guidelines for what needs to be included in every reply if you don't use the template.  Guidelines include time-frame for completing the question, asking for clarification of the question, rules for use of subscription databases,  and more.  IPL is at http://www.ipl.org
